Introduction

Welcome to this tutorial by the Information and Publishing Unit of Inria. Here are 5 tips to optimise\Nyour submissions to HAL.

Tip 1: Choose the inria.hal.science portal

The HAL Open Archive has a general portal, visible at this address, as well as 152 institutional portals, spread throughout France. However, we strongly recommend using the ‘inria.hal.science’ portal. The HAL Inria portal is customised to offer you options such as a toolbox with time-saving tips as well as a direct link to the helpdesk and important Open Science news taylored for Inria Researchers. Submitting on 'inria.hal.science' is also a guarantee that you will benefit from a better support\Nand a better submission management.

Tip 2 : affiliate yourself to your Research Team!

When submitting on hal, You must choose your Team name as an affiliation and NOT your Inria Center. Your Research Team metadata\Nis linked to the authority base Aurehal and automatically includes all parent structures. This information is essential\Nfor annual activity reports as well as for the 4 years assessement reports. So, be sure to use only\Nyour Research Team name.

Tip 3: Differentiate between ‘Conference paper’ and ‘Proceedings’.

The two names can lead to confusion. It is important to differentiate between them when submitting. In HAL, a ‘Conference paper’ is for a single conference presentation with its own title. Conversely, the ‘Proceedings’\Nbrings together in a single file all the papers grouped together and published by the conference organisers.

Tip 4: Create an Idhal and promote it

To create your Idhal, go to your account options in the top right-hand corner of the portal. Click on My Idhal, then configure it in the dedicated field. The suggested idhal is in the form 'first name-last name' from your profile, but you can change it. However, once you have chosen it, it cannot be changed ! Once your Idhal is created, we strongly recommend that you create an ORCID identifier and add it here.

Tip 5: Update your affiliate preferences

When submitting, when your name is entered as the author and if you have set an affiliation preference it will be added automatically. For this reason, make sure that this affiliation preference is always up to date. To do this, go to your account settings. Here you can change your affiliations to reflect your current position.
